Wholesale Operations Coordinator

We are seeking a highly organized and detail-oriented Wholesale operations coordinator to join our growing global wholesale team. In this pivotal role, you will support the end-to-end wholesale process, ensuring operational excellence from order entry through delivery and post-shipment follow-up. You will act as a key liaison between Sales, Production, Warehouse, Finance, and external partners, contributing to a seamless customer experience and supporting the continued growth of our international brand.

Responsibilities


Order Management & Operations

  • Create, track, and amend sales orders in the ERP system, ensuring accuracy of pricing, quantities, delivery windows, and payment terms.
  • Coordinate closely with Production and Warehouse teams to align timelines, product availability, and shipment quality.
  • Manage replenishment orders by monitoring stock levels and requesting sell-through reports from key accounts.
  • Ensure smooth order fulfilment and resolve any order discrepancies, shortages, or claims efficiently.


B2B Platform & Product Data Management

  • Set up all products and collections in the ERP system, ensuring correct pricing structures, assortments, and market-specific selections.
  • Maintain and update the B2B portal, ensuring all product information, pricing, images, and availability are accurate and ready ahead of each season launch.
  • Maintain accurate client setups, vendor records, and product master data, conducting regular audits to ensure data integrity and compliance.
  • Support onboarding of new clients within the ERP system and ensure all customer information remains current and accurate. 


Sales Support & Seasonal Preparation

  • Prepare and distribute accurate line sheets (including pricing, product descriptions, and imagery) to agencies ahead of seasonal sales campaigns.
  • Support preparation for seasonal buying appointments, showroom setups, and wholesale events, ensuring all materials reflect brand standards.
  • Oversee global sample coordination, including shipment to agents and showrooms, tracking inventory, and ensuring timely returns.


Finance & Compliance Support

  • Collaborate with the Finance department to ensure accurate invoicing and timely provision of required documentation.
  • Support retailers with billing inquiries, payment follow-ups, and order discrepancies.
  • Monitor compliance with agreed commercial terms, payment conditions, and shipping agreements. 


Account & Brand Monitoring

  • Monitor online and in-store product presence at key accounts, ensuring product launches are accurate, on time, and aligned with brand guidelines (imagery, descriptions, pricing).
  • Proactively flag inconsistencies or brand presentation issues to relevant stakeholders. 


Reporting & Analysis

  • Generate and analyse reports on inventory levels, order status, sales forecasts, and sell-through performance.
  • Identify trends, risks, and opportunities to support strategic decision-making within the wholesale team.
  • Maintain KPI tracking for order accuracy, delivery performance, and account performance.
Qualifications
  • 1–3 years of experience in fashion wholesale administration or a similar operational role
  • Strong organizational and coordination skills with exceptional attention to detail
  • Proficiency in Microsoft Office (especially Excel) and ERP systems (experience with It’s Perfect is a plus)
  • Experience working with B2B platforms and product data management
  • Excellent communication skills in Dutch and English (both written and spoken)
  • Proactive, solution-oriented mindset with the ability to prioritize multiple tasks and meet deadlines
  • Ability to work cross-functionally in a fast-paced, international environment
  • Affinity with the fashion industry and understanding of seasonal wholesale cycles
